FanFinders B2B Email Communications and Abuse Reporting Policy

Effective date: Last updated: Oct 25, 2025

Scope

This policy applies to promotional email sent by FanFinders Ltd and to employees, contractors, agencies, affiliates and other providers sending promotional messages on our behalf. It covers messages promoting fanfinders.com, regardless of the sending address, domain or platform used.

Business communications

FanFinders provides marketing and customer acquisition services to businesses. Our communications may include introductions to prospective business customers who have not previously requested an email.

Such contact is permitted under this policy only where the applicable electronic marketing and data protection requirements, and the sending provider's rules, allow it.

Where personal information is used, an appropriate lawful basis must be established. Reliance on legitimate interests does not constitute consent or establish that a message was requested. Requirements must be assessed for the relevant recipient and jurisdiction.

Relevance and transparency

Prospecting must have a clear business purpose and a reasonable connection to the recipient's professional role or the organisation's activities. Senders must clearly identify FanFinders, explain the purpose of the approach and provide appropriate privacy information.

Deceptive subject lines, impersonation, concealed sender identities and misleading descriptions of an existing relationship are prohibited.

Opt-outs and objections

Marketing messages must provide a straightforward way to request that marketing stops.

Requests to stop must be actioned promptly, with further direct marketing to that contact stopped. Appropriate suppression records must be maintained and checked before further marketing is sent, including through providers acting on our behalf.

Changing the sending account or platform must not be used to bypass an opt-out.

Third-party sending

Providers acting on our behalf must follow this policy. They must be able to explain their contact sources and sending practices and apply relevant suppression instructions.

Suspected breaches must be investigated, and activity found to breach this policy must be stopped and corrected before it resumes.

Reporting concerns

Concerns about promotional messages relating to fanfinders.com can be sent to alec@fanfinders.com. Please include the original message and its full headers where available so the sending activity can be investigated.

Policy position

This policy permits some unsolicited B2B communications where the applicable requirements allow them. It does not represent all promotional messages as solicited or consent-based.
